M: So today, we’re gonna talk about something I think everyone struggles with at some point.
M:今天我們要聊一個我覺得大家在職場上一定都有遇過的難題。
M: Saying no at work, you know, politely. How do you refuse a task when you’re just completely overwhelmed without causing problems?
M:就是在職場裡,「委婉地拒絕」。當你已經忙到爆炸時,要怎麼拒絕別人的要求,又不惹麻煩?
J: Such a necessary skill. I mean, this isn’t about being difficult. It’s really about protecting your work quality and, honestly, preventing burnout.
J:這其實是一個非常必要的技能。並不是你不配合,而是為了維持工作品質,老實說,也是避免自己被操到 精疲力盡。
M: Exactly. So to get us started, we’ve got a short dialogue. It’s a scenario with a new team member, Ariel, her colleague, Ben, and their manager.
M:對。所以我們先來聽一段小對話。情境是新同事 Ariel、她的同事 Ben,還有他們的主管。

M: A whole lot. Just a master class in setting boundaries, really。
M:超多。簡直就是一堂如何設定界線的示範課。
J: Let’s start with the first part, her conversation with her colleague, Ben. She opens with, “I’d love to help, but I’m really swamped right now.”
J:先從她跟同事 Ben 的部分開始。她開頭說:「我很想幫忙,但我現在真的忙到不可開交。」
M: And that structure, “I’d love to, but…”
M:而這個句型,「I’d love to, but…」
J: Yeah. It’s just perfect. It shows you want to be a team player, but…
J:對,就是完美。它表現出你願意合作,但——
M: You just can’t.
M:你現在真的做不到。
J: Yeah, and the word “swamped,” it’s so much stronger than just saying, “I’m busy,” isn’t it?

M: Oh, absolutely. Busy is negotiable. But swamped, that paints a picture of being completely underwater with work. It’s like a gentle but firm full stop.

J: Right. But then Ben pushes a little bit, and Ariel says, “The thing is, I have a few tasks with strict deadlines today.”
J:沒錯。但 Ben 又追問,Ariel 就說:「事情是這樣的,我今天有幾個任務是有嚴格截止時間的。」
M: Yeah, that little phrase, “The thing is,” it’s a great conversational tool. It’s like you’re letting them in on a little secret, your reason. It just softens everything.
M:對,這個小小的片語 “The thing is” 超好用。像是在溫柔地帶出理由,整個語氣變得柔軟很多。
J: It makes it less personal.
J:聽起來就不會像在拒絕對方這麼個人化。
M: Exactly. And then she offers that, uh, what I’d call a conditional commitment.

J: “I’ll check if I can squeeze it in and get back to you.” Ah, okay, see, that’s the part I always wonder about. When you say that, aren’t you just setting yourself up for them to bother you again later?
J:她說:「我看看能不能擠一點時間,然後再回覆你。」啊,我每次都在想,講這句不就等於之後還要被追問嗎?
M: That’s the beauty of it. By saying, “I’ll check,” you’re not promising anything. And the phrase “squeeze it in?” Mm. Well, it implies finding a tiny, tiny gap in your schedule.
M:這就是它厲害的地方。”I’ll check” 表示你完全沒有保證。”squeeze it in” 則暗示你真的只有一點點可能的空間。
J: So you’re basically saying, “Don’t count on it.”

M: Precisely. It buys you time without a firm promise.

J: Okay, that makes sense for a peer. But then the manager comes over. And that’s a totally different situation. She can’t say she’s swamped.

M: No way. That’s way too informal. The whole strategy has to change. Instead of focusing on her own capacity, she makes it about the company’s risk.

J: Right. She says, “I’m concerned I might not keep up with everything I’m handling right now.”
J:沒錯。她說:「我有點擔心我現在正在處理的事情可能跟不上進度。」
M: See that? It’s genius. “I’m concerned.” She’s flagging a potential problem, not stating a hard refusal. She’s worried she can’t keep up, you know, maintain the pace.
M:看到沒?超聰明。”I’m concerned” 是提出潛在問題,不是直接拒絕。她是在擔心自己無法維持標準。
J: So she’s framing it as a professional concern, not a personal complaint.
J:所以整件事被包裝成「專業評估」,不是「個人抱怨」。
M: Exactly. And then here’s the best part, the quality argument. “I can try, but I don’t want to rush and produce something incomplete.”
M:沒錯。接下來最精彩——品質理由。她說:「我可以試試,但我不想匆忙完成而造成內容不完整。」
J: And that’s the line that works. The manager immediately backs off. Why is that so effective?
J:這句真的很有效。主管立刻退一步。為什麼?
M: Because no manager wants rushed, incomplete work. You’re basically telling them, “I care so much about our standards that I have to say no to this.”

M: Yes. You’re turning a personal “no” into a strategic move for the good of the team. It’s almost impossible to argue against.

J: So, to sum it all up, it’s really about two different playbooks. For your peers, you use that sort of soft, conditional language.

M: Right. But for your boss, you frame it around quality and professional standards. It makes your refusal sound like a sign of high performance, not of being overwhelmed.
